a) Carry out comprehensive duties towards HR & Administration duties as well as general accounting tasks.
b) Carry out allocated designated tasks as well as compile reports and records from all associated Group Company, its subsidiaries and/or other branches or companies of the proprietors as carefully allocated and required.
c) Implementing organized and policy compliance work atmosphere and procedures in the team/company personnel and effectively manage front office functions, office communications and administrative support as well as coordinate and implement company policies and procedures and related documents to all team / company members / all relevant personnel.
d) To run regular check-ups on regular intervals for all company property/assets and their usage in order to ensure its condition status and usage compliance.
e) Prepare and keep relevant record-keeping documents updated, verified and well-organized in its designated format/procedure and designated time periods.
f) Timely prepare and submit relevant daily, weekly, or monthly reports and updates via official email or other official means as per the directives and requirements.
g) Maintain office security by following safety procedures and controlling access as per the guidelines and requirements.
h) Ensure general administration duties, guest/client hospitality, and office belongings / property cleanliness and well-organized at all the times.
i) Answer, screen and forward incoming phone calls as well as make phone calls relevant to the office administration tasks.
j) Organize, order, and maintain office supplies and assets as well as monitor and review inventory and quotations of official supplies, official travel documents, incoming requisitions, official purchases and expenses etc with attention to budgetary constraints and propose best options available, negotiations, pricing, quality, senior’s approvals, and delivery.
k) Coordinate with various other departments and branches for relevant allocated tasks / duties, update records, schedule meetings, and ensure planned reminders to ensure prompt timely completeness of all designated tasks.
l) Assist in organizing and incorporating a filing system for important and confidential company documents for relevant seniors and ensure its safekeeping as per senior’s guidelines.
m) Support seniors in handling and documenting reports, records, and updates.
n) Explore, communicate, and follow up closely with potential partners and relevant companies in regards to assist in business advancement.
o) Coordinating and handling services with timely coordination’s and processing of documents, making quotations and proposals.
p) Monitor and review attendances, leaves and absences and their relevant proper documentations.
q) Reviewing and keeping close monitor on all company websites and other social media accounts and their contents / information.
r) Organize, manage and participate in company official events as required by the management.
s) Administer and maintain regular journal entries to ensure all business transactions are recorded
t) Carry out book-keeping and other relevant records of general accounts as well as update and maintain all databases in accounts receivable, issuing invoices, accounts payable and performing reconciliations.
u) Preparing and reviewing of company expenses, payrolls, statutory contributions, etc and their relevant records of all branches / companies employees.
v) Coordinate with all branch’s accounts and administration personnel and report to the designated Seniors/Directors relevant to Accounting and Administration.
w) Coordinate with relevant personnel/s and correct discrepancies in customer/client accounts and service management
x) Assist in preparing and processing of balance sheets, income statements and other financial statements according to legal and company accounting and financial guidelines
y) Assisting seniors in achieving financial objectives by anticipating requirements; submitting information for budget preparation; scheduling expenditures; monitoring costs; analyzing variances and in the preparation of monthly/yearly closings, audits, accounting projects etc.
z) Perform other Ad-Hoc duties, as required, assigned or instructed.
